Edvantis is looking for Administration Manager to perform a wide array of tasks to ensure the proper functioning of an office and provide comfortable working conditions for employees. Manage the company’s strategic approach to travel, day-today operation of the corporate travel program.

Key Duties and Responsibilities:

  • Oversee administrative functions. Maintains office efficiency by supporting and implementing office systems and equipment procurement
  • Lead, direct and support administrative staff in their administrative tasks. Work with Office Specialists to coordinate day‐to‐day operations at the office
  • Handle requests for information and data, answer or refer inquiries
  • Prepare written responses to routine enquiries and related issues
  • Troubleshoot any office functioning problems and liaise with related specialists to resolve problems
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Maintain stationery, files and inventories
  • Fulfill general clerical duties including photocopying, fax and mailing
  • Maintain and upkeep office equipment and furniture and organize repairs and upgrades
  • Organize team and employee relocations via cooperation with Project Managers. Handle seats arrangements
  • Maintain office management budget. Manage and allocate funds for office expenditures. Monitor and record expenses
  • Follow through on maintenance agreements and contracts
  • Research vendors to find the best pricing and delivery options
  • Ensure payment of utility bills
  • Make reservations, choose transportation and accomodation for company employees within the economic guidelines established by the company
  • Arrange all payments related to Travel Management activity
  • Prepare visa application documents and coordinate visa issuance procedures
  • Proceed with insurance booking
  • Meeting management (book conference room and organize food and water, tea or coffee for meetings, etc)
  • Control cleaning of the conference room during the guest visit
  • Organize staff & client meals, taxi fares, gratuities, client gifts, excursions, supplies (office supplies and/or services), etc

Position Requirements:

  • 2+ years of related professional experience
  • Knowledge of principles and practices of basic office and travel management
  • Computer skills and knowledge of relevant software
  • Experience in planning and arranging business trips using Expedia Travel, Kayak, Booking.com, and other online resources, planning trip itineraries, preparing visa application documents
  • Understanding IT business specifics

  • Ability to take initiative on both tactical actions and strategic thinking as it relates to the management of the office and administrative services
  • Ability to review and interpret technical information
  • Ability to analyze/evaluate data and make appropriate decisions and recommendations
  • Strong multi-tasking skills
  • Upper-intermediate English
